Candidate Privacy Policy

Engramme respects your privacy and the confidentiality of your job search. This policy explains how we collect, use, share, and protect personal information when you apply for a position, participate in interviews or assessments, or otherwise engage with us about employment.

1. Information We Collect

We may collect your contact details; résumé, curriculum vitae, employment history, education, and qualifications; professional profiles and portfolios; application materials; interview communications, notes, and feedback; assessment responses and work samples; and information about your availability and work authorization.

We collect information directly from you, from recruiters or people who refer you, and from publicly available professional sources. Subject to the permission requirements below, we may also receive information from references or employment verification providers. We collect sensitive information only where necessary and permitted by law, such as information needed to arrange an interview accommodation.

2. How We Use Your Information

We use candidate information to communicate with you, arrange interviews, evaluate qualifications, make hiring decisions, prepare offers, administer appropriate checks, provide accommodations, maintain recruiting records, and meet legal obligations. We limit collection and use to information reasonably relevant to these purposes.

3. Permission Before Contacting Employers or Colleagues

Engramme will obtain your explicit permission before contacting your current employer or any current or former colleagues about you. This applies to employment verification, formal references, informal references, and “backchannel” inquiries, including inquiries through personal or professional networks.

Before requesting permission, we will identify the person or organization we propose to contact and explain the purpose and scope of the inquiry. We will obtain and record your affirmative permission in writing, including by email, before making contact.

Submitting an application, identifying an employer on your résumé, providing someone’s contact details, or accepting this policy does not, by itself, constitute permission to contact them. Permission for one contact does not authorize other contacts or unrelated inquiries.

These requirements also apply to recruiters, background check providers, and others acting on Engramme’s behalf. You may withdraw permission before contact occurs by notifying hello@engramme.com. If you decline permission, we will discuss alternative ways to obtain any necessary information.

4. Confidentiality and Sharing

We treat your candidacy as confidential. Access to candidate information is limited to people who need it for recruitment or related responsibilities, including relevant hiring managers, interviewers, recruiting staff, and authorized service providers.

We may share information with providers supporting recruitment, assessments, communications, or authorized background checks; professional advisers; and authorities where legally required. Service providers must protect candidate information and use it only for authorized purposes. We do not sell candidate information or share it for cross-context behavioral advertising.

5. Recruiting Technology and AI

If we use AI or other automated tools to assist recruitment, we remain responsible for hiring decisions and provide appropriate human review. We will explain any materially consequential automated processing and provide notices and choices required by applicable law.

We do not use candidate materials to train general-purpose AI models or permit our service providers to do so. We will obtain your explicit permission before recording or using automated transcription for an interview.

6. Retention and Security

We retain candidate information for 24 months after the recruitment process ends, unless a longer period is required by law or necessary to resolve a dispute. If you are hired, relevant information becomes part of your employment record. We will ask separately before retaining your profile for future opportunities beyond this period.

We use reasonable technical and organizational safeguards to protect candidate information. Where information is processed outside your country, we apply safeguards required by applicable law.

7. Your Rights and Choices

Depending on applicable law, you may have rights to access, correct, delete, or obtain a copy of your information; restrict or object to certain processing; withdraw consent; or complain to a privacy regulator. Some rights are subject to legal exceptions.

To make a request or raise a concern, contact hello@engramme.com. We may verify your identity before responding. Engramme will not retaliate against you for exercising applicable privacy rights.

8. Changes and Questions

We may update this policy and will provide notice of material changes as required by law. For questions about this policy or our handling of candidate information, contact hello@engramme.com.
